Process & Systems Design
Overview
I believe impactful work is amplified by smart systems. Over time at Pac4, I recognized repeated friction in how we communicated goals, managed projects, and tracked impact across brand partners.
In response, I designed a proactive planning framework aimed at shifting our team from reactive task management to forward-thinking, goal-centered execution.
Skills Applied:
Operational strategy
Cross-functional thinking
Workflow design
Internal communication
Ownership & initiative
Process simplification
Client reporting structure
Proactive Framework Overview
Quality work thrives when supported by structure. While working across 30+ Amazon-focused brands, I noticed how often teams defaulted to reactive support—responding to issues rather than planning strategically. In response, I designed a proactive monthly planning framework to bring clarity, goal alignment, and accountability into the content and advertising process.
The framework is built around a simple monthly cycle—Plan, Align, Execute, Review—with tools that help teams focus on impact, not just activity. It’s designed to scale across brand teams and support roles, fostering more intentional collaboration, timely reporting, and consistent progress toward measurable outcomes.
This system reflects how I think about operational design as a creative enabler—removing friction so people can do better, more thoughtful work.
Monthly Cycle Breakdown
Framework Example
To support the cycle above, I created a customizable spreadsheet that served as both a goal tracker and accountability tool. This framework allowed team members to:
Set and categorize brand-specific monthly goals
Assign and monitor action items by owner and status
Align content, advertising, and support efforts around shared objectives
Reduce last-minute fire drills by promoting proactive planning
The tracker was built for clarity and ease of use, with dropdowns, progress columns, and room for cross-functional inputs.
A monthly cycle designed to bring rhythm, structure, and strategic alignment to monthly brand support. This cycle encourages intentional goal setting, streamlined execution, and clearer performance tracking across Amazon-focused content and advertising teams.
Week 1 — Plan
Action: Reporting, Review & Goal Setting
Start each month by analyzing the previous month’s performance through a recap report. Identify wins, roadblocks, and relevant metrics. Based on these insights—and any upcoming brand context (like product launches or seasonal pushes)—set a clear, measurable goal for the month and outline key action items.
Deliverables: Monthly report, proposed goal, draft action plan
Week 2 — Align
Action: Brand Meeting & Goal Confirmation
Meet with brand to review the monthly report and refine the proposed goal. Adjust the action plan as needed based on feedback, shifting priorities, or updated performance data. Confirm alignment across internal and external teams.
Deliverables: Finalized goal, confirmed action items, internal accountability
Week 3 — Execute
Action: Project & Content Execution
Carry out the assigned action items tied to the monthly goal—this may include content creation, advertising adjustments, or backend troubleshooting. Track progress in a shared system and provide updates to both internal teammates and brand contacts.
Deliverables: Work-in-progress updates, status tracking, mid-month check-ins
Week 4 — Review
Action: Wrap-Up & Optional Brand Check-In
Evaluate goal progress and complete outstanding action items. Meet with the brand (if needed) to share updates, address blockers, and reflect on what worked. Use these insights to prepare for the next month’s planning phase.
Deliverables: Completion notes, progress summary, input for next cycle
Framework Impact
This proactive planning framework was built to support cross-functional collaboration—not just for creative work, but for any initiative where alignment, accountability, and strategic follow-through are critical. It’s designed to bring structure to ambiguity, reduce reactive fire drills, and help teams prioritize the work that moves the needle.
Creating this system deepened my ability to analyze workflows, identify bottlenecks, and design thoughtful solutions that drive clarity and momentum. It reflects how I approach problems—with a strategic lens and a bias toward action.
